Data We Collect
We collect data from three main sources:
A. Data you provide directly
- Full name, phone number, email address (via demo registration form)
- Your gym / studio information
- Communications and support requests
- Payment information (processed via third-party payment gateway, not stored on Actiwell systems)
B. Data from Facebook / Meta
When you connect your Facebook Business account to Actiwell, we may access:
- Facebook Business account identifiers (Facebook Login for Business)
- Facebook Page data: page name, ID, posts, and customer messages
- Ad performance data: impressions, clicks, spend, conversions (Meta Ads Manager, Marketing API)
- Ad delivery and monetization data from Meta Audience Network
- Messenger conversation history between business and customers
- Instagram Business account info: ID, content, messages, and engagement metrics
- Threads content linked to the business account
- Product catalog data (Catalog API) if you manage catalogs through Actiwell
C. Technical data
- IP address, browser type, operating system
- Usage data: pages viewed, in-app actions, session duration
- Cookies and similar tracking technologies
How We Use Your Data
- Providing, operating, and improving Actiwell platform features
- Managing CRM, memberships, bookings, and payments as requested by you
- Managing ads and marketing campaigns via Marketing API and Meta Ads Manager
- Delivering ads via Meta Audience Network based on your configuration
- Supporting customer communication via Messenger and Instagram
- Providing reports, analytics, and operational data summaries
- Complying with legal obligations under Vietnamese law
- Detecting and preventing fraud, abuse, and security violations
Third-Party Data Sharing
Actiwell does not sell your personal data. We only share data in the following circumstances:
- Meta / Facebook: Required to operate integrated features (Ads API, Messenger, Instagram, Threads, Catalog API). Meta has its own privacy policy at facebook.com/policy.
- Google Firebase (Google Cloud Platform): Where Actiwell platform data is stored, compliant with ISO 27001 security standards.
- Authorized technical support partners: Only access data necessary for their tasks and are bound by confidentiality agreements.
- Legal authorities: When required by law, court order, or competent Vietnamese state authorities.
Storage & Security
Your data is stored on Google Cloud Platform (Firebase) in ISO 27001-certified data centers. We apply security measures including encryption in transit (TLS 1.2+), role-based access control, 24/7 system monitoring, and periodic security audits.
Retention period: Data is retained for the duration of service use and 90 days after account termination, then permanently deleted unless the law requires longer retention.
Your Rights
Under Decree 13/2023/ND-CP on personal data protection and related regulations, you have the following rights:
- Right of access: Request a copy of your personal data we hold.
- Right of rectification: Request correction of inaccurate or incomplete data.
- Right of erasure: Request deletion of your personal data (see Data Deletion Instructions page).
- Right of portability: Receive your data in a machine-readable format.
- Right to withdraw consent: Withdraw consent to data processing at any time.
To exercise these rights, send a request to info@actiwell.co. We respond within 5 business days.
Policy Changes
We may update this Privacy Policy from time to time. For material changes, we will provide at least 30 days' notice via your registered email or in-app notification. The 'Last updated' date at the top of this page reflects the current version.
